Payment & Retainer

A 50% retainer is due at the time of booking to reserve your date and equipment. This retainer is non-refundable. The moment we confirm your booking, we turn away other customers who wanted that same date and equipment. The retainer compensates us for that, whether your event happens or not.

The remaining 50% balance is due 7 days before your event date. We'll send a secure payment link to the email or phone on file — please complete payment promptly to keep your date and equipment reserved.

If we don't receive your remaining balance within 7 days of the payment request being sent, we reserve the right to treat your booking as cancelled and release your date and equipment. Your retainer is forfeited under the Cancellation Policy below

Cancellation Policy

If you cancel your booking for any reason, any payments already made — including your retainer and any portion of the remaining balance already paid — are non-refundable. We will not pursue collection of any unpaid remaining balance on a cancelled booking.

This applies to cancellations for any reason, including weather-related cancellations initiated by you — see below for what happens when we are the ones who determine conditions are unsafe.

Weather Policy

If you decide to cancel because of the forecast

This is treated the same as any other cancellation above. Your retainer is non-refundable, but we're happy to move your booking to a new available date at no additional charge, as a one-time courtesy, rather than losing your business entirely.

If we determine conditions are unsafe

Separately from your own decision to cancel, we may determine that delivering, setting up, or leaving equipment out in current or forecasted conditions isn't safe — for example, sustained winds exceeding 25 mph, lightning, or other hazardous weather, referenced against a public source such as weather.com at the time of the decision. If we make this call, you may choose either a full refund or a reschedule to a new date, at no charge. This is different from a cancellation you initiate — we're not able to safely provide the service, so it isn't fair to treat it as your cancellation.

Damage, Loss & Replacement

Normal wear and tear during ordinary use is included in your rental price at no extra charge. This does not extend to items that are missing, stolen, or damaged beyond normal wear.

Items returned missing, broken beyond normal wear, or visibly neglected will be billed at the replacement values listed below. By booking, you authorize us to charge the card on file for these amounts if they aren't paid within a reasonable time after your rental is returned.

Late Returns

If items aren't returned by the scheduled return date and time, an additional day's rental charge applies for every item still out, for each day it remains out. This charge begins accruing from your scheduled return date, not from whenever we happen to notice the items are late.

If we haven't heard from you within 3 days of your scheduled return date, you will be held responsible for the full replacement cost of all outstanding items, and we will file a police report.

Caring for Your Rental Items

• Protect all non-tent items from weather while they're in your possession — rain damage to fabric, wood, or electrical items is treated as damage, not normal wear.
• Nothing may be taped, stapled, pinned, or otherwise attached to a tent canopy or sidewall.
•  Items should be returned in generally the same condition they were delivered or picked up in — reasonably clean and free of food, drink, or decoration residue.

Delivery & Site Access

Delivery is available for an additional fee based on distance from our location. You're responsible for making sure our delivery vehicle (and trailer, for larger orders) has safe, reasonably level access to the setup location — we may not be able to complete delivery if the site isn't accessible, and this does not entitle you to a refund of delivery fees already paid.

For any tent booking, you're responsible for calling 811 before your event so utility lines can be marked. We are not responsible for damage to unmarked underground utilities.

Tent Setup & Safety

• All tent delivery, setup, and breakdown is performed by our team. We do not offer self-service tent setup, for the safety of our customers and our equipment.
• Tents require a level grass or soil surface for stake installation. We do not currently offer setup on concrete, pavement, or other hard surfaces.

Games & Recreational Equipment

Lawn games (cornhole, giant Jenga, giant Connect Four, ladder toss, bocce, and Spikeball) carry the ordinary risks of active outdoor play. By renting this equipment, you acknowledge these risks and agree to supervise use appropriately, particularly around children.

Nerf Battle Package

The Nerf Battle Package involves foam-dart blasters and active play. Safety goggles are provided for every player and must be worn at all times during use. By renting this package, you assume responsibility for supervising safe use and agree that The Party Lot is not liable for injuries resulting from normal use of the equipment as intended.

Balloon Service

Latex balloons may pose a risk to individuals with latex allergies. If you or your guests have a latex allergy, please let us know in advance so we can discuss foil-only options.

Chafing Dishes & Serving Equipment

We rent food-warming and serving equipment; we are not a catering company and are not responsible for food safety, food handling, or spoilage. Safe food handling and storage is your responsibility.

Who Can Book

You must be at least 18 years old to book a rental or sign this Agreement.

General Terms

• We reserve the right to refuse or cancel a booking, including for site conditions we determine to be unsafe.
• This Agreement is governed by the laws of the State of North Carolina.
• If any part of this Agreement is found unenforceable, the rest remains in effect.
• This Agreement, along with your order confirmation, is the entire agreement between you and The Party Lot regarding your rental.
